Prepare RIA accounts and people for a clean CRM import
Prepare an RIA CRM import by separating accounts from people, retaining stable source identifiers, reviewing possible duplicates and preserving the reason for each selection. Test a small import before sending the full list, and track the CRM result separately from the export.

What to take away
- An account record and a person record need different identifiers and fields.
- Do not merge solely on a similar name or a shared website domain.
- An export receipt proves a handoff was prepared, not that the CRM accepted it.
The firm’s people view makes the account relationship visible before a handoff. Multiple source records can still represent the same individual and should be reviewed before import.
Agree on the destination before downloading
Start with the CRM owner. Decide whether the import should create accounts, create contacts, update existing records or prepare a review queue. Confirm which fields identify existing records and which fields the import is allowed to overwrite. A clear mapping prevents a research export from becoming an uncontrolled cleanup project.
Keep the original export as a dated source file. Work from a copy when formatting values for a CRM. That gives your team a way to trace a changed field back to the research record and makes it easier to reverse an incorrect mapping before a larger import.
Map accounts and people separately
Use firm identifiers where available and retain the source record ID. For people, keep the associated account, reported role and identity-review status. If a team or subsidiary relationship is important, add it only when you can support it with evidence; the hierarchy in your CRM should not be an assumption hidden in an import file.
| Account fields | Person fields |
|---|---|
| Source account ID and CRD where available | Source person ID |
| Legal or displayed firm name | Person name and reported role |
| Official website and office location | Associated source account ID |
| Selection reason and source date | Affiliation source and contact-status notes |
Review collisions before they become records
A firm can have a legal name, a trading name and several office addresses. Two people can share a name, while one person can appear under several name formats. A website domain can also be shared across related entities. Use those fields to identify records needing review, not as an automatic guarantee of identity.
Check your existing CRM for accepted accounts before importing. Keep an exclusion list for accounts already assigned to another salesperson or being worked through a different channel. Preserve source-level uncertainty when you cannot resolve it; creating a confident but incorrect relationship is usually harder to unwind later.
Test the complete handoff on a small batch
Import a few reviewed records through your normal process. Check whether people landed under the right accounts, identifiers survived formatting, blank values overwrote anything unexpectedly and notes remained readable. Confirm that the CRM’s matching rules behaved as expected before processing the rest.
Record the destination IDs and the import outcome in your sales process. Mark failures for correction rather than assuming that a completed upload means every row was accepted. Your audit trail should distinguish prepared, exported, imported and rejected records.
Use the current BreakawayIQ handoff deliberately
BreakawayIQ supports selecting records, preparing CSV exports and recording what has been exported. Use those records to reduce repeated pulls and help a colleague understand what was handed off. Keep any CRM acceptance confirmation in the destination workflow until a verified direct connection is available.
Direct CRM synchronization is in development. The beta should therefore be evaluated as a research-to-CSV workflow, with a deliberate import step in your own tool. Keeping identity, source and status fields clean now also makes a future integration easier to introduce without losing the history of your existing accounts.
Your research checklist
- Confirm create/update rules and field ownership with the CRM owner.
- Preserve account and person identifiers separately.
- Review possible duplicates and account exclusions.
- Validate a small import and record its outcome separately from export.
