How to choose an RIA database your sales team will actually use
The most useful RIA database is the one that helps your team explain why a firm fits, identify a relevant person, and carry that evidence into its sales process. Test those jobs with your own target accounts before comparing headline record counts.
In this guide
What to take away
- Evaluate firms and people separately; a large record count may combine both.
- Ask to inspect the source behind a match, not just the result count.
- Run a small export through your actual workflow before committing.
An actual BreakawayIQ search for Tamarac. Each result includes the observed passage behind the match; the search is not a prediction that the firm wants new software.
Bring a real assignment to the evaluation
Write down a task your team needs to complete this week. A software seller might need independent advisers in a territory whose public websites mention a relevant platform. A service provider might need firms describing a particular client specialty. Keep the question narrow enough that a researcher can judge the results.
Take a small set of firms you already know and another set you have not researched. Familiar accounts help expose wrong identities or outdated roles. Unfamiliar accounts show whether the product actually shortens discovery. Use the same task for every provider; a polished demonstration otherwise tells you more about the presenter than your future workflow.
Test the record, the source and the handoff
Open several matches and follow the evidence. Can you distinguish the firm from a fund it advises? Does a website phrase belong to the firm, an employee biography or a quoted third party? Can you see when the information was observed? These questions determine what your salesperson can responsibly say in a conversation.
| Test | What to look for |
|---|---|
| Identity | Stable firm identifier, legal name and website |
| Evidence | A source and date for the specific fact you plan to use |
| People | Role, employer relationship and unresolved duplicates |
| Handoff | Usable export fields and a way to record what was exported |
Measure the work left after the demo
Record how many results you reviewed, how many were relevant, and how many still needed manual research. Count the steps required to move one accepted account into your sales process. Those measurements are more useful than a broad claim that a database is accurate.
A contact record deserves its own test. A published email address, a verified mailbox and a person’s current role are separate facts. Ask which ones the provider actually supplies. If your campaign depends on deliverable email, evaluate that dependency explicitly instead of assuming it is included with a people directory.
Compare the cost of a usable workflow
Include seats, export limits, contact credits, renewal terms and the work your team must still do. Two platforms with similar list prices may require very different amounts of cleanup. Request a written explanation of the plan you are considering and check the cancellation terms before subscribing.
BreakawayIQ’s public pricing is $199 per month or $1,999 per year for two seats. Its current beta supports source-based research, saved lists and CSV preparation. Coverage is incomplete, and direct CRM synchronization and verified person-email delivery are not currently included as live capabilities. Review the current feature inventory against your must-have requirements before deciding.
Your research checklist
- Choose one prospecting task and a small validation set.
- Check identity, source, person and handoff separately.
- Record accepted results and the manual work remaining.
- Confirm the current plan, access conditions and missing capabilities.
